Suggestion for Immediate Technology-Based Workload Reduction and Better Customer Service


Respected Sir/Madam,
I would like to submit a practical suggestion for consideration regarding the increasing workload at BOs and SOs.
The objective is not merely to reduce employee workload. The proposed approach can simultaneously provide better customer service, better utilisation of staff time and improved efficiency and business opportunities for the Department.
At present, account opening, KYC/e-KYC, verification, data entry and other repetitive activities are consuming considerable time at BO, SO and HO levels.
Wherever permissible under the existing rules and technical framework, e-KYC, Biometric Authentication and Face Authentication may be utilised more extensively, particularly at BO level.
The following action may kindly be considered:
1. Identify repetitive activities currently requiring manual processing at BO/SO/HO level and examine whether they can be simplified through technology.
2. Enable eligible services at BO level, wherever permitted, so that customers need not repeatedly visit the SO.
3. Reduce duplication of work by avoiding repeated data entry and verification wherever system integration is possible.
4. Assess the actual workload of each SO/BO based on transactions, customer footfall, attached BOs and available staff before transferring or rationalising workload.
5. Whenever an SO/BO is closed or merged, assess the workload of the receiving office before transferring the entire workload.
6. Use the staff time saved through technology for genuine customer service and business development, including Postal Savings Schemes, PLI/RPLI, Speed Post, Parcels and other departmental services.
A practical and quick implementation method
Instead of waiting for a major system-wide change, the Department may kindly consider selecting a few rural and urban BOs/SOs as Pilot Offices and implementing the above measures wherever technically and administratively feasible.
The results can be reviewed within a short period based on:
Customer waiting time ↓
Repeated SO visits ↓
Manual/repetitive work ↓
Staff time saved ↑
Customer service ↑
Business opportunities ↑
If the pilot produces measurable benefits, the same model can be quickly extended to other suitable offices.
Expected Result
Technology → Less repetitive work → More time for customers → Better service → Better business opportunities → Better utilisation of departmental resources
The key principle may be:
“Technology should not merely transfer workload from one employee or office to another. It should eliminate unnecessary repetitive work and create more time for genuine customer service.”
I therefore request that this suggestion may kindly be examined on priority and, wherever feasible, taken up as a pilot initiative for early implementation.
