Summary of Duties of Mail Overseer

General Role

  • Subordinate to Sub Divisional Head
  • Conducts inspections and assists in fraud investigations
  • Accompanies Sub Divisional Head on tours

Mail Duties

  • Posts test letters/cards to check punctual clearance
  • Maintains beat lists, route maps, and letterbox statements
  • Verifies articles in deposit and delivery remarks

Savings Bank Duties

  • Handles SB-28 and SB-26 receipts
  • Verifies passbooks, depositor signatures, and balances
  • Reports discrepancies and prevents frauds

Remittance Duties

  • Verifies cash, stamp balances, and MO accounts
  • Checks reasons for non-payment and VP/insured articles

Accounts & Journals

  • Maintains BO Account (Pa-6) and BO Journal (Pa-5)
  • Verifies receipts, payments, liabilities, and remittances

Insurance Duties

  • Checks RPLI receipts, journals, and schedules
  • Ensures proper crediting and fee collection

Reports & Records

  • Maintains weekly diary and monthly MO reports
  • Submits visit reports and passbook verification extracts

Extraordinary Circumstances

  • Acts during theft, fire, floods, and service disruptions
  • Performs GDS duties and trains new staff

Miscellaneous

  • Verifies BO records, stock registers, and SS books
  • Assists in settlement of accounts and minus balance checks
